Position: Theatre Administrator

Location: Medicana, Winchester

Reports to: Theatre Manager

Salary: £28,000 – £36,000 per annum (depending on experience and qualifications)
Note: Salary reflects private hospital sector norms for experienced administrators managing NHS contracts and theatre operations.

 

Role Summary:

The Theatre Administrator is responsible for the smooth administration of theatre operations, ensuring compliance with NHS contract obligations, private hospital procedures, and regulatory requirements. The role combines operational coordination, contract management, and administrative support to clinical and managerial teams, with a strong focus on efficiency, accuracy, and patient care.

The successful candidate will have extensive experience with NHS contracts, ideally within a private hospital environment, and demonstrate exceptional organisational, communication, and analytical skills.

 

Key Responsibilities:

Theatre Administration

  • Manage theatre schedules and coordinate elective and urgent cases efficiently.
  • Maintain accurate theatre records, including lists, staff rotas, and procedure documentation.
  • Coordinate with clinical teams to ensure timely patient preparation and theatre turnaround.

NHS Contract Management

  • Administer NHS contract requirements, ensuring compliance with key performance indicators and reporting standards.
  • Prepare and submit accurate activity reports for NHS-funded patients.
  • Liaise with NHS commissioners, finance, and private hospital management regarding contract queries.
  • Monitor and resolve discrepancies in activity or billing related to NHS contracts.

Operational Support

  • Support theatre managers in daily operational planning and resource allocation.
  • Assist in procurement, stock monitoring, and equipment tracking for theatre operations.
  • Contribute to the development and maintenance of departmental SOPs and policies.

Reporting & Compliance

  • Maintain accurate patient records, ensuring compliance with data protection and regulatory standards.
  • Provide regular reports on theatre activity, performance, and contractual compliance.
  • Assist with audits, inspections, and quality assurance activities related to theatre operations and NHS contracts.

Staff Coordination & Communication

  • Act as a point of contact for theatre staff, consultants, and external stakeholders.
  • Support induction and ongoing training of theatre administrative staff as required.
  • Facilitate smooth communication between clinical, administrative, and finance teams.

Essential Skills & Experience

  • Proven experience in theatre administration, ideally within a private hospital environment.
  • Extensive experience managing NHS contracts, activity reporting, and compliance obligations.
  • Strong knowledge of theatre operational procedures and hospital systems (e.g., patient administration systems, scheduling software).
  • Excellent organisational and multitasking abilities.
  • Strong attention to detail, accuracy, and record-keeping.
  • Effective communication skills for liaising with clinical teams, patients, and external stakeholders.

 

Desirable Skills

  • Experience with finance and billing related to NHS/private contracts.
  • Knowledge of NHS reporting requirements and KPIs.
  • Familiarity with quality assurance, audit procedures, and SOP development.
  • Experience in training or mentoring administrative staff.
